Privacy Policy

This policy covers Braces & Faces Dental Clinic and the website at bracesfaces.co.in. It explains what we collect when you enquire with us online, why we collect it, who else can see it, how long we keep it, and what you can ask us to do with it. It is written to meet our obligations under India's Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

Your clinical records — the notes, X-rays and treatment plans created once you become a patient — are held separately under our clinical record-keeping obligations and are not covered by this website policy. Ask us at the clinic if you want details of those.

What we collect

We only collect what you type in yourself, plus a small amount of technical information that arrives automatically with any web request.

When you contact us. Our appointment form, contact form, and the short form shown before a call or WhatsApp chat collect:

• Your name
• Your mobile number
• A description of what you need help with — which may include information about your dental health or symptoms
• Your email address and preferred appointment date, where the form asks for them

Automatically. When you submit an enquiry we also record the IP address the request came from and which page you were on. We use these to understand which pages generate enquiries and to block automated spam — not to build a profile of you.

What we do not collect. We do not ask for and do not want payment card details, Aadhaar or other government identifiers, or any document uploads through this website. Never send those through a web form.

Why we collect it

• To reply to your enquiry, and to call you back if we miss you or the call drops
• To arrange, confirm or reschedule an appointment
• To answer a clinical question you have asked us, including through an online consultation
• To keep an internal record of enquiries so nothing is lost between a message and a booking
• To understand which parts of the website lead to enquiries, so we can improve them

We do not sell your information, and we do not share it with other clinics, laboratories, insurers or advertisers. We will not send you marketing messages you did not ask for.

Consent, and withdrawing it

You give consent by choosing to submit a form. You are never required to — our phone number is published on every page and you can simply call, and the form shown before a call can be skipped.

You can withdraw consent at any time by writing to appointments@bracesandfaces.in. We will stop using your details for anything other than what the law requires us to keep, and delete them on the timeline below.

Where your information goes

An enquiry you submit is stored on the server that runs this website, and is also copied into a private Google Sheet that only our clinic team can open. We use these third parties, and only these:

• Google (Sheets and Drive) — stores our internal record of enquiries.
• Google Maps — several pages embed a map showing the clinic. Loading that map tells Google your IP address and basic device information, whether or not you interact with it.
• Google Analytics — where enabled, we use Google Analytics 4 with IP anonymisation turned on, to count visits and see which pages lead to enquiries. It is not enabled on every deployment of this site.
• WhatsApp (Meta) — if you choose to start a WhatsApp chat with us, that conversation happens on Meta's platform and is governed by their privacy policy as well as ours.
• Our hosting provider — operates the server this website runs on, located in India.

Some of these companies are based outside India and may process your information on servers in other countries. We rely on their standard contractual protections when they do.

We may also disclose information where a law, regulator or court requires us to.

Cookies and similar technology

This website does not set advertising or tracking cookies of its own. Our typefaces are served from our own server rather than a third party, so simply reading a page does not report you to anyone.

We store one small flag in your browser's session storage after you fill in the pre-call form, purely so we do not ask you for the same details twice in the same visit. It is cleared when you close the tab. Where Google Analytics is enabled it sets its own cookies, and the embedded Google Map may set cookies when it loads.

How long we keep it

• Enquiries that do not become appointments: up to 2 years, then deleted.
• Enquiries from people who become patients: retained with your patient file under our clinical record-keeping obligations.
• Technical logs containing IP addresses: up to 12 months.

You can ask us to delete your details sooner. We will do so unless we are required to keep them — for example, where they form part of a clinical record.

How we protect it

The website is served over HTTPS, so anything you type is encrypted in transit. Access to our enquiry records is limited to clinic staff who need it to contact you. We keep the amount of information we collect deliberately small, which is itself a protection.

No system is perfectly secure, and we will not claim otherwise. If a breach occurs that affects your personal data, we will notify you and the Data Protection Board of India as the law requires.

Your rights

Under the Digital Personal Data Protection Act, 2023 you can ask us to:

• Tell you what personal data of yours we hold and what we have done with it
• Correct anything inaccurate, or complete anything incomplete
• Erase your personal data where we no longer need it and no law requires us to keep it
• Nominate someone to exercise these rights on your behalf if you are unable to

Write to appointments@bracesandfaces.in and we will respond within 30 days. There is no charge. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Children

We treat dental patients of all ages, and we welcome that. But this website is not intended for children to use on their own. If you are under 18, please ask a parent or guardian to make the enquiry for you. We do not knowingly collect personal information submitted by a child without a parent or guardian, and if we find that we have, we will delete it. When a parent enquires about a child's treatment, we treat the details of that child as part of the parent's enquiry.

Changes to this policy

If we change how we handle your information we will update this page and change the date at the top. Material changes will be flagged on the website itself rather than made quietly.
